Let’s talk about the absurdity of property management software “dark periods.” In 2025, you can deepfake a human face, generate contracts with AI, and get groceries delivered by a robot. But switch your property to a new software platform—and your onsite team might as well be running a 1980s DMV. Paper guest cards. Rent ledgers in Excel. Maintenance logs written on Post-its. It’s not a joke. It’s standard practice. Why? Because switching software still means a blackout. A multi-day—or worse, multi-week—period where the old system is locked and the new one’s not live. You can’t screen applications. You can’t collect rent. You can’t issue renewals. So your team is stuck holding clipboards like it’s a fire drill that never ends. How did we let this become normal? • The data’s messy—years of resident history, janky GLs, half-dead vendor records. • The APIs are slow—or don’t exist. • The vendors move at the speed of their next quarterly renewal. • And nobody wants to be liable for bad imports, so “play it safe” becomes “play it slow.” But let’s call it what it is: complacency wrapped in process. Run a parallel lease system. Keep leasing operations live while you port over accounting. Don’t let vendors bully you into going fully dark. 3. Put speed into the contract. Tie milestone payments to working imports, live bank recs, and full operational capability. 4. Use a third-party migration crew. Your team does leasing. Let the pros do data. A good consultant can cut your timeline in half. 5. Demand better tools. If the platform can’t handle real-time data transfer or sandbox testing, it’s not software—it’s a shackle. Your team shouldn’t need pens and paper to run a $40 million asset. If your software vendor can’t migrate data faster than your leasing agent can handwrite a rent receipt— Fire the vendor. Fix the process. Or stop pretending your tech stack is “modern.” Because right now, the only thing AI about most property software setups… Is Absolutely Inexcusable.
